Receiving a Document via Internet Fax

Internet Fax (I-fax) is a function that enables you to send and receive images via internet and not a telephone line.

G3 FAX transmission cost increases with transmission time and distance. If a line with fixed rate is installed, you can control the transmission cost because the cost of I-fax is fixed regardless of the transmission time and distance. It is recommended that you use this when sending and receiving documents with large number of pages.

You can receive at a resolution of up to 600 dpi. (for Full mode)


Required Condition
  • Network settings are set.
  • The sender knows the I-fax address for this machine.

This section describes how to receive I-fax via Full mode from IPv4 environment.


  1. Follow the procedures below to check whether the DNS server address settings are set.

Press (Settings/Registration) → [Preferences] → [Network] → [TCP/IP Settings] → [DNS Settings] → [DNS Server Address Settings].

If it is not set, contact the System Manager and set the IP address for DNS primary server and DNS secondary server.

  • DNS server is a server that converts the domain name which is the computer name on the internet into an IP address.

  1. Check whether the host name and domain name are set in [DNS Host/Domain Name Settings] for <IPv4> on the DNS Settings screen.

If it is not set, contact the System Manager and set the host name and domain name. For the domain name, enter the domain name of the network to which the machine belongs to.


  1. If dynamic DNS server is set, press [On] for <DNS Dynamic Update> in <DNS Dynamic Update Settings> on the DNS settings screen.


  1. Follow the procedures below to check whether the e-mail server is set.

Press (Settings/Registration) → [Function Settings] → [Send] → [E-Mail/I-Fax Settings] → [Communications Settings].

If it is not set, contact the System Manager and set each settings.

[SMTP Server]: The IP address or host name of the e-mail server used to for transmission
[E-Mail Address]: The e-mail address set on the machine
[POP Server]: The IP address and host name of the e-mail server used to send and receive in "POP before SMTP" send authentication format
[POP Address]: The log in name used to access the POP server
[POP Password]: The password used to access the POP server
[POP Interval]: The time interval in which the machine checks the e-mail on the e-mail server
  • It is recommend that you set [POP Interval] to an interval other than '0'.

  1. If the receiving server requires authentication, check the authentication system by pressing [Authent./Encryption].

If it is not set, contact the System Manager and set each settings.

[POP Authentication Before Send]: If the provider is in the "POP before SMTP" send authentication system, set this setting to 'On'.
[SMTP Authentication]: If the environment of the e-mail server requires SMTP authentication, set this setting to 'On' and enter the user name and password.

  1. Follow the procedures below to set [Use Send Via Server] to 'On'.

Press (Settings/Registration) → [Function Settings] → [Send] → [E-Mail/I-Fax Settings] → [Use Send Via Server].

Preparation for receiving I-fax is completed.

  • Depending on the provider, port number 25 for send may be closed to countermeasure junk mail. For information on changing the port of the machine, contact your local authorized Canon dealer.

  1. Press (Status Monitor/Cancel) → [Receive] → [Check I-Fax RX] → check that the job was received successfully.

  • Difference between Simple Mode and Full Mode

You cannot check whether the data was received correctly by the recipient in the Simple mode. However, you can check whether the data was received correctly by the recipient in the Full mode. Thus, it is recommended that Full mode is set when you are receiving a data.


Troubleshooting


If an error occurs while receiving a document, an error code is displayed in Details on the Status Monitor/Cancel screen or in various reports such as the Communication Management Report.

Error Code Cause Remedy
#754 The server is not functioning or the network is down. The destination setting is not correct. Check the server and network. Check the destination's address settings.
#801 A timeout error occurred while the machine was communicating with the SMTP server to send an e-mail message or send/receive an I-fax. Check that the SMTP server is functioning normally. Check the status of the network.
See step 4 of "Preparations for Sending I-Fax."
The SMTP server returned an error while trying to connect. The destination is incorrect. An error occurred on the server side during transmission to a file server. Check that the SMTP server is functioning normally. Check the status of the network. Check the address settings. Check the status and settings of the file server.
You are trying to send a file to a destination for which you have no write permission. Check the address settings.
When the machine tried to send a file to the server, a file with the same name already existed on the server, and that file could not be overwritten. Change the settings on the file server to enable the file to be overwritten, or contact the server administrator.
When the machine tried to send a file to the server, either the folder name was incorrectly specified or the password was incorrect. Check the address settings.
#802 The name of the SMTP Server in E-Mail/I-Fax Settings in Send in Function Settings (Settings/Registration) is incorrect. The DNS server name specified in DNS Settings is incorrect. Connection to the DNS server failed. Press [Function Settings] (Settings/Registration) → [Send] → [E-Mail/I-Fax Settings] → check the name of the SMTP Server. Press [Preferences] (Settings/Registration) → [Network ] → [TCP/IP Settings ] → [DNS Settings] → check the DNS server name.

Check that the DNS server is functioning normally.
#810 A POP (Post Office Protocol) server connection error occurred when receiving an I-fax. Press [Function Settings] (Settings/Registration) → [Send] → [E-Mail/I-Fax Settings] → check the POP Server name.
See step 4 of "Preparations for Sending I-Fax."
Confirm that the POP server is functioning normally. Check the status of the network.
The POP server returned an error during the connection.
A timeout error occurred on the server while connecting to the POP server.
#831 An I-fax document could not be received using SMTP because of the Receive Filter setting in Firewall Settings for Network in Preferences (Settings/Registration). Press [Preferences] (Settings/Registration) → [Network ] → [Firewall Settings] → reset the Receive Filter setting.
To change this setting, contact your System Manager.
#834 An MDN (Mail Delivery Notification) error notification was received because of an incorrect I-fax address or destination setting, or because trouble occurred in the network or mail server. Alternatively, the memory of the receiving machine is full. Check the I-fax address or destination setting.
#899 The e-mail message or I-fax has been successfully sent.
However, reception may be incomplete because the transmission may relay
via multiple servers.
If you are using POP RX, press [Check I-Fax RX] on the Status Monitor/Cancel screen to check whether the machine has received an error notification.
